Just spent 3 days untangling a license audit mess from last year
We got a surprise vendor audit notice last Tuesday and I figured it would be a quick export and done. Turned out our user list had 40 stale seats from people who left in the spring that never got deactivated. The vendor portal only showed active licenses, but their audit form wanted historical usage logs from the last 12 months. I had to pull data from three different systems and match up timestamps manually in Excel because the SaaS tool didn't have a clean export. Took me until Friday afternoon to sort it all and we ended up paying for 12 unused seats anyway. My advice is to review your user list every quarter, not just when a renewal comes up. Has anyone else had a vendor demand historical logs that their own dashboard won't show you?
Honestly I used to be the same way, just spot checking stuff at renewal time and calling it good. But yeah this exact scenario is why I changed my whole approach, those vendors dont make it easy to pull history after the fact so you gotta stay on top of it every few months or you get burned.
