Weekly paper logs vs a shared spreadsheet for daily reports, and I'm not going back
Our super ran paper daily reports for years and we always lost them in his truck. Three months ago I put every job on a shared spreadsheet that the whole crew can see on their phones. We catch delays way faster now, like a concrete pour on the Oakview job that sat for two days because nobody flagged the pump truck issue. The paper version meant waiting until Friday to find out something went wrong Monday. It took me about two weeks to get the older guys to actually type stuff in instead of just radioing me. So far the log gets updated by 4pm almost every day. Anyone got a setup that works better when the crew is spread across two or three sites?
My buddy runs a small framing crew and had the same mess, except his paper reports were getting rained on half the time. He went with one shared sheet per site plus a "main" tab that pulls the important stuff together, so guys on site A and site B both log into the same file but only see their own tab by default. He said the real trick was making the form stupid simple, like five fields max, because the second you ask for photos and notes and hours all in one spot the older guys stop filling it out. They also set a hard cutoff, if it's not in by 5pm it didn't happen, and that killed the whole "I'll do it tomorrow" thing fast. Keeping one master view matters too, otherwise you just end up with three sheets nobody can compare. He still prints the Friday summary for the office guys who refuse to look at a screen.
